Everything you need to know about working with Simple Truth Finance.
What is the difference between a Bookkeeper, a Tax CPA, and a Fractional CFO?
Think of it as data entry versus strategic direction. A Bookkeeper logs past transactions — recording what you already spent. A Tax CPA steps in once a year to look backward at those books and file your annual tax returns with the IRS.
As your Fractional CFO and corporate accountant, we look out the front windshield. We take over your ongoing day-to-day accounting, build predictive cash-flow forecasts, optimize your profit margins, and architect forward-looking scaling strategies. We don't file your year-end taxes; instead, we build a bulletproof, flawless financial infrastructure so that when tax season rolls around, your books are packaged perfectly and passed off to your tax CPA without a single headache.
Why does my business show a profit but my bank account feels empty?
This is the most common financial paradox in small business — and it has a name: a cash flow gap. Profit is an accounting concept. Cash is reality. The two don't always move together, and the difference is where growing businesses get into serious trouble.
There are six reasons your cash position can lag far behind your reported profit:
1. Accounts receivable lag — Revenue is recognized the moment you invoice, but you don't have the cash until your client actually pays.
2. Inventory buildup — Cash tied up in stock doesn't show as an expense on your P&L, but it's very real cash that's no longer in your account.
3. Debt servicing — Loan principal repayments don't appear on your P&L as an expense, but they absolutely drain your cash every month.
4. Owner distributions — Money leaving via owner draws doesn't hit your expense line but directly reduces your cash position.
5. Capital expenditures — Equipment purchases are depreciated over years on the P&L, but the full cash outflow hits immediately.
6. Timing mismatches — Bills due before client payments arrive creates a gap that compounds month over month.
Diagnosing exactly which of these is draining your business is what our Financial Analysis service (Level 3) is specifically designed to do.
My business is growing fast, but I always feel tight on cash. Can you fix this?
Yes — and this is the exact foundation our firm was built on. Rapid growth is incredibly expensive and notoriously drains cash. You can be highly profitable on paper while your bank account sits empty due to inventory lag, accounts receivable delays, or unoptimized pricing models.
We start by making sure your books are clean and reconciled (Level 1 — Bookkeeping). From there, we get your active money management in order — bills, invoicing, and cash tracking (Level 2 — Accounting). Then we do a forensic deep dive into your cash flow gap to find exactly where the money is going (Level 3 — Financial Analysis). Finally, we build rolling forecasts and forward-looking strategy so it never happens again (Level 4 — Fractional CFO).
What is the Simple Truth Finance service ladder?
Our services are structured as a four-level ladder — each level builds on the one below it, and each unlocks the next. This mirrors how financial infrastructure actually works in a growing business.
Level 1 — Bookkeeping — The foundation. Clean, reconciled books every month. Tax-ready year round. Nothing above is possible without this.
Level 2 — Accounting — Active money management. Bills, invoicing, collections, and weekly cash tracking. Builds on clean books.
Level 3 — Financial Analysis — Diagnostic deep dive. Cash flow gap analysis, margin diagnostics, break-even mapping, and a 13-week forecast. Requires Levels 1 and 2.
Level 4 — Fractional CFO — Forward-looking strategy. Rolling forecasts, scenario modeling, growth architecture, and monthly advisory. The highest level of financial partnership we offer.
Most clients start at Level 1 and grow up the ladder as their business matures. Not sure where you fit? That's what the free 15-minute discovery call is for.
Do I have to start at Level 1 or can I jump straight to CFO services?
You don't have to start at Level 1 if you already have a solid foundation in place. If you're coming to us from another bookkeeper or accountant and your books are clean and reconciled, we can assess where you currently sit on the ladder and engage at the appropriate level.
Before we begin any higher-level work, we do a free high-level diagnostic review of your QuickBooks to verify the foundation is solid. If it is, we move straight into the level that fits your needs. If it isn't, we'll tell you honestly what needs to be addressed first — and we can handle that clean-up as a scoped flat-fee project before ongoing services begin.
What happens if my books are a mess?
It's more common than you'd think — and it's completely fixable. If your books are behind, disorganized, or just haven't been properly maintained, we start with a dedicated clean-up project before any ongoing services begin.
Here's how it works: after your free discovery call and diagnostic review, we assess the scope of what needs to be done and give you a flat-fee quote upfront — no open-ended billing, no surprises. Once the clean-up is complete and your books are in good shape, we transition directly into your ongoing monthly services. The clean-up must be completed first — we don't build strategy on a shaky foundation.
How does working with a Fractional CFO actually work?
It gives you institutional-grade financial leadership without the enterprise overhead. Hiring a full-time, experienced CFO can easily cost a company upwards of $250,000 per year plus benefits. By partnering with us fractionally, you get the exact same level of elite strategic oversight, deep financial modeling, and executive-level advisory — scaled precisely to the current size and budget of your business.
Fractional CFO is Level 4 of our service ladder, which means it requires a clean bookkeeping and accounting foundation underneath it. Once that foundation is in place, we engage on a monthly retainer — building rolling forecasts, running scenario models, and meeting with you each month to review the numbers and adjust strategy in real time.
We already have an internal bookkeeper or office manager. Can we still work with you?
Absolutely. We do not require you to dismantle what is already working. If you have an internal team member handling day-to-day data entry, we can plug in directly above them. We will audit and elevate their systems, implement advanced cloud-accounting tech stacks, and step in strictly as the high-level strategic advisory layer to translate their data into executive action.
How do we communicate and share data since you operate 100% remotely?
We utilize a fully vetted, digital ecosystem to make collaboration entirely seamless and secure. Your financial data is hosted in encrypted, cloud-based accounting platforms — primarily QuickBooks Online — and we use secure portals for document sharing. Instead of rigid, formal quarterly board meetings, we communicate asynchronously and hop on sharp, high-leverage video calls whenever critical business decisions arise. You have a direct line to elite financial leadership without the geographic constraints.
Can we hire you to do our taxes?
Not at this time. However, we will work in direct partnership with your tax accountant so they have everything they need to complete your taxes with accurate and complete information. One of the core deliverables of our bookkeeping service is handing off perfectly packaged, tax-ready books to your CPA at year end — so tax season becomes a non-event for you.
How do I know if my business is ready for Simple Truth Finance?
If your business is generating healthy six or seven-figure revenue but you are still making major scaling decisions based on gut feeling or your current bank balance, you are ready. If you are tired of flying blind and want a bulletproof financial infrastructure backed by proactive, forward-looking strategy, let's talk.
The best place to start is a free 15-minute discovery call. We'll take an honest look at where your business stands, tell you which level of the service ladder fits your current needs, and give you a clear picture of what working together would look like — with zero pressure and zero commitment.
